Booking Conditions

Please kindly read carefully, acknowledge and accept the booking terms and conditions before confirming any treks or trips through our company.

Booking Terms and Conditions contain important information. It is essential that you read them carefully and understand them. The Booking Terms and Conditions constitute a legally binding contract between Mountain Holiday Treks and Clients for the services provided by our company and set out the basis of your legal relationship with us.

Bookings and Payments 

To process a Booking you must send us a completed booking form with a 30% of total amount as a booking deposit to the below bank account. This will constitute acceptance by you of these Terms and Conditions. We require you to attach a copy of each traveller’s passport to our official email info@mountainholidaytreks.com. After receiving a scanned copy of your passport and completed booking form along with transferring your 30% booking deposit, we will send booking confirmation along with payment receipt. The remaining payment must be settled prior to departure of the trip.

- A bank service charge may be applied and should be paid at the time of deposit by the client themselves.

– For Credit Card payment please contact us. We only accept Visa or MasterCard and a 5% levy will be added for the card processing fees.

– The remaining balance can pain upon arrival to Nepal and have to be cleared before the departure of your trip, Company Reserves the right to cancel your trip should the full amount not be paid on time.

– Company can accept booking on short notice upon full payment but it must at least a week prior to departure. Please make sure to book in advance, as we need enough time to make logistic arrangements, which sometimes may lead in hike of cost and alter to itineraries due to many reasons, and there will be no refund on the bookings made on short notice. Please read cancellation policy below for details.

Cancellation & Changes in Bookings 

(a) Cancellation notice is required a minimum 20 days prior to trip departure and must be made in writing, such notice commences from the day notice is received. Cancellation shall be valid with approval from the company after receiving documentation. The Trip shall then be termed as canceled and a cancellation charge of 30% of the trip amount would be deducted from the advance paid.

(b) There will be no refund to clients that provide less than 20 days’ notice, before trip departure and if a passenger leaves a trip for any reason whatsoever, either voluntarily, involuntarily or if you commit any unlawful act after the trip has commenced. Company will make no refunds for any meals, accommodation or services not used.

(c) Should you require other changes to your original trip, the person that booked the trip must submit a written document with the changes required to official contact address of the company, we will highly consider you request, but changes cannot be guaranteed.

(d) If you are prevented from traveling on the tour by genuine circumstances, for example (without restriction) because of death, injury or serious illness of the passenger, close relative or friend, redundancy or jury service, you may postpone or transfer your booking to another person, provided they meet all the requirements relating to that tour. You must provide proof of why you are unable to travel at the time you change your booking. A fee of $90.00US per person is required if you postpone or transfer this tour no less than two weeks prior to trip departure.  There will be no options available 14 days before trip departure.

Departure Notice:

It is advisable that travelers reach Nepal prior 1-3 days before departure date of their trip. It will help on proper pre departure trainings, acclimatization and also accustomed with guides. 

Travel Insurance

Travel insurance is compulsory for all Clients undertaking any trek. It should provide adequate protection for the full duration of the trek to cover personal injury, death, medical expenses, repatriation expenses, helicopter rescue, air ambulance and adequate cover for baggage’s and other unforeseen cases .

Passport and Visas

All clients must have a valid passport with at least 6 months validity from the return date.  Nepalese visas can be obtained from the Nepalese Consulate in your country or arrival in Kathmandu Airport. Nepalese visas formalities are the sole responsibility of visitors.

Health & Fitness

All our Nepal tours and treks require a level of fitness, there for you should always check with your local GP regarding your health and fitness before you travel. It’s the client’s responsibility to notify Mountain Holiday Treks Pvt. Ltd. of any pre-existing medical condition and/or disability that might reasonably be expected to increase the risk of you required medical attention, that may affect your ability to travel.

Children

A legal guardian must accompany all travelers under the age of sixteen. If you have a question regarding age and suitability, please contact us for further information.

Use of Personal Data and Images

Mountain Holiday Treks Pvt. Ltd. may use images of you taken during the trip without recourse to you and without compensation to you, for publicity and promotion purposes only through whatever medium it chooses. Please go through our Privacy Policies and accept it before confirming the trip.

Changes to your Holiday and Pricing

Travelling with our company requires a degree of flexibility, good humor and an understanding that modes of transport, accommodation, and itineraries may change, even after the tour has commenced, without prior notice due to local circumstances such as flight delay, cancellation or postponement due to notorious weather in the Himalayan regions or other unpredictable circumstances such as land-slides, road blockage, flood, snow, political unrest or delay arrival etc. Our company is unable to refund any monies under the above circumstances due to prior supplier arrangements. If possible we will always endeavor to provide you an alternative or substitute trip of the same category.

Also, our company will not be liable of any responsibility for the loss of employment, delays or compensation resulting from situations beyond control of Mountain Holiday trek.

Our holidays, tour/trek packages, are based on twin share accommodation. Thus, a single room supplement charge will be imposed on clients who do not have another tour participant to share accommodation with.

We reserve the right to revise pricing rates posted in our marketing material, under any circumstances, or on the pressure of various external factors that are further than our control, for instance, changes in the exchange rate, government action, etc.

Risk & Liabilities

We are committed to providing the best services which will give you a once in a lifetime journey in this connection, we perform our duties honestly & seriously to make your journey very smooth & pleasant. However, the entire programs in Nepal are conducted strictly under the rules and regulation of their’ own policies.

Therefore our company and its related organization shall not be responsible for any changes in the itinerary due to unavoidable circumstance such as govt. restriction, Landslides, road blockage, flood, snow political unrest, cancellation of flight, delay, sickness or accident, Any extra cost incurring there of shall be borne by the clients on the spots.

Grievances:

Should you have a complaint about the trip or tour you must make it known to a tour leader or guide at the earliest, who will intermediate with management of the company in resolving it, or you can directly communicate with the management team should you prefer to reach higher level to put your grievances.
